SmartTemplate Studio: FAQs

This article includes the common questions from customer admins using SmartTemplate Studio.

Getting started

  1. Who is SmartTemplate Studio for?

SmartTemplate Studio is available to Builders, Strategists and Organization Admins. Builders create assets for their own use. Strategists and Organization Admins, for example in RevOps, Product Marketing, Sales Ops, or Business Value teams, can also create standardized content and set it live for their whole go-to-market team. See User roles in Databook.

  2. Do I need design or technical skills to use it?

No. You work with familiar PowerPoint and Word files. When you upload a template, Databook automatically maps the most relevant content to it, and Composer guides you through reviewing and refining the result — no manual setup required.

  3. Do I need to build my template from scratch?

No. Start from an existing deck or document, or create a first draft however you like — including with tools such as Claude or Gamma. You then turn that draft into a template by marking the parts that should be filled in automatically with placeholders.

  4. What file types can I use for a template?

PowerPoint (.pptx) and Word (.docx). Each asset uses one template.

Templates and placeholders

  1. What is a placeholder, and how do I add one?

A placeholder marks a spot in your template that should be filled in automatically. You add one by typing a short, descriptive name inside double curly braces — like {{company overview}} — where you want the dynamic content to appear. A clear name helps Databook map the right content to it.

  2. What kinds of content can a placeholder generate?

Placeholders are flexible. Depending on how you use them, Databook can fill a placeholder with a block of text, a set of bullet points, a numbered list, a full table (adding or removing rows as needed), or a dynamic image set through the image's alt text (for example {{company logo}}).

  3. Do all my slides or sections need placeholders?

No. Slides and sections with no placeholders are kept exactly as you designed them — Databook only fills in the spots you've marked.

  4. My placeholder isn't being recognized — what should I check?

Check that it uses the {{ }} format exactly. A mistyped placeholder won't be recognized.

  5. What happens if I replace my template file?

You may lose your placeholder mappings, industry targeting, and other configuration. Where possible, edit your existing file instead of replacing it. Asset Builder warns you before you replace a template.

Content and generation

  1. How does Databook know what content to put in each placeholder?

When you upload your template, Databook automatically maps the most relevant content to each placeholder. You then review and adjust the mappings using Composer, the AI assistant in the asset builder — describe the change you want in chat and it updates the content for you.

  2. Does the content update automatically for each account?

Yes. Databook generates account-specific content each time the asset is requested, so it adapts to the target account automatically.

  3. Can I preview an asset before publishing it?

Yes. As you configure, you can ask Composer to generate a preview and choose an account for it to preview against. When everything is configured, generate a full preview and open the full-deck view to review the whole asset end to end.

  4. What's the difference between "Account only" and "Account + buyer"?

You choose whether the people requesting the asset need to provide just an account (Account only) or an account and a specific buyer (Account + buyer). This determines what context Databook uses to generate the content.

Setting live, access, and sharing

  1. How do I publish an asset?

When you're ready, select Set live. This opens the Set asset live dialog, where you confirm the display name and choose who the asset is live for.

  2. Can I save my progress and finish later?

Yes. You can save a project as a draft and return to it any time. It appears in your asset list with a Draft status.

  3. Who can access a published asset?

You choose when you set the asset live. Only me makes it available to you alone. Everyone in my organization makes it available to every user in your organization. Builders can only choose Only me. Strategists and Organization Admins can choose either option.

  4. How do my team members find and use a published asset?

Assets that are live show an Active status and appear in the list of assets your users can request in Databook.

  5. Can I update an asset after it's live?

Yes. Reopen the project in SmartTemplate Studio, make your changes, and set it live again.

  6. Can I set live an asset that a colleague built?

Not currently. An asset can only be set live by the person who created it. If a Builder has built an asset that everyone should use, your Organization Admin can give them the Strategist role so they can set it live for the organization. The asset stays live for everyone even if their role is changed back afterwards.

Tracking adoption

  1. Can I see how much my assets are being used?

Yes, if you're a Strategist or Organization Admin. Asset analytics let you track how often each asset is downloaded and which sellers are using it.
