Once you've set up a prompt, it appears in the Prompt Library for everyone in your workspace to use.
How to create or edit a prompt
Go to Studio > Prompts in your Databook admin console.
Select New Prompt to create one from scratch, or choose an existing prompt to edit.
Fill out the fields:
Display name (optional): A short label (up to 120 characters) that helps your team quickly identify the prompt in the Prompt Library. If you leave this blank, the Prompt Library shows the start of the prompt text instead.
Prompt: The instruction DatabookAI will receive. You can include variables — placeholders that let each user personalize the prompt before running it (for example, letting them choose which account or industry to research).
Category (optional): Group related prompts together, or create a new category using Manage categories.
Click Save to store the prompt in your workspace.
Test the prompt by selecting a value for each variable it contains.
Use the toggle in the top right of the screen to activate or deactivate the prompt.
Available variables
You can build prompts around any of the following variables. Add one using the Insert menu below the prompt text box.
Variable | What your team selects when they run the prompt |
Account | A company from your list of accounts |
Industry | An industry |
Sub-industry | A sub-industry |
Professional | A contact |
Use case | A use case from your organization's list |
Solution | A solution from your organization's list |
A prompt can include more than one variable. If a prompt has multiple variables, your team will see a separate field for each one and will need to make a selection for all of them before they can run the prompt.
Example: an industry insights prompt
Using the sub-industry and use case variables together, you could build a prompt like:
Research industry priorities and trends in the [sub-industry] and help me position use case for companies in this industry.
This lets your team research any sub-industry and get positioning help in a single step, without needing to pick a specific company first.
How your team experiences a prompt
Once a prompt is active, it appears in the Prompt Library for everyone in your workspace. To use it, they:
Select the prompt — shown by its display name if one is set, or by the start of the prompt text otherwise.
Fill in a value for each variable the prompt contains (for example, an industry, use case, or solution).
Click Submit.
Receive a tailored response from Databook right away.
This makes it easy for your team to get consistent, relevant insights without needing to know how to write a prompt from scratch.
Good to know
Prompts are workspace-level assets — everyone in your workspace can see and use them once they're created.
You can edit a prompt at any time to refine its wording, update its display name, or add variables.
Prompts are meant to guide your team, not restrict them — aim for clarity rather than overly complex setups.
